- Go to app.retellai.com and sign in (or create an account — free trial available)
- Click Create Agent → give it a name (e.g. "Maya — Booking Confirmation")
- Under Prompt, paste your Opening Script and append your Discovery Questions below it
- Under Response Guidelines, paste your Objection Handling scripts — one per objection
- Connect your Twilio number under Phone Numbers
- Set up your webhook in Integrations to fire your automation (Make.com or Zapier) after each call
- Test with a call to your own number — iterate on tone before going live
Start with 5-10 calls per day to calibrate. Most businesses get their show-up rate to 75%+ within the first two weeks of tuning.
- Go to vapi.ai → Assistants → Create Assistant
- Set the System Prompt to your Opening Script — this is what the AI reads at the top of every call
- Add your Discovery Questions under Functions as conditional follow-ups
- Paste Objection scripts into the Knowledge Base — the AI retrieves them when it detects resistance
- Connect Twilio under Phone Numbers → Import
- Set up End-of-Call Webhook to push transcript + outcome to your CRM via Make.com
- Use VAPI's Call Analytics to track which scripts convert best over the first 50 calls
VAPI gives you more control over call flow branching. If your calls have multiple paths (qualify → book vs. qualify → pass), VAPI handles this better than Retell at scale.
- Go to claude.ai → Projects → New Project
- Name it "AI Caller Scripts" and paste all three script sections as your Project Instructions
- In the chat, type: "Rewrite the opening script in a more conversational tone for [your industry]"
- Once happy with the scripts, say: "Format these for Retell AI — system prompt format"
- Copy the formatted output straight into your AI caller platform
Use Claude to A/B test variations. Paste both versions and say "which opening is more likely to keep someone on the call for 60 seconds?" — then test the winner live.
